Equipment that destroys documents
1. Shredder: used to shred confidential and unwanted documents.
Advantages
a) reduction in space b) protection from identity theft c) paper can be recycled.
Equipment for making multiple copies of documents
2. Computer printers (inkjet and laser) are used to produce hard (paper) copies of documents created or stored on a computer. There are 2 main types:
- Inkjet Printers: smaller, cheaper and usually slower; work by shooting very fine jets of ink onto the surface of the paper; have 2 cartridges (black and coloured)
- Laser Printers: larger, quicker, better quality, and more expensive; use toner cartridges; work by shining a laser beam onto a special drum and using the toner to create an image on the paper.
More Specialised Printing
- Impact Printers: such as dot and matrix printer work by hitting the page with a force; mainly used for printing multi-platforms such as those in some car-rental agencies; slow and cannot print in colour.
- Plotters: mainly used to print posters or technical drawings that have been prepared on computer using special software such as Photoshop or CAD (computer-aided design). They use a pen to draw continuous kines which is something that is impossible on any other type of printer.
- Photocopiers: are standard items in all offices that are used to make multiple copies of many types of documents and computer printouts.
- Risographs: often used for large-volume copying because they are quicker (can produce up to 130 pages per minute); easy to use, economical, less maintenance than other printers, and can be linked to computer network.
